General Questions​

What is CADENSA Mobile?​

CADENSA Mobile is the official mobile app for CADENSA time tracking platform. Track time, manage entries, and sync across devices from your phone.

Is CADENSA Mobile free?​

The app itself is free to download from App Store and Google Play.

However, you need:

  • CADENSA account (may require subscription)
  • Workspace membership (created by admin)

Which devices are supported?​

iOS:

  • iPhone: iOS 13.0 or later
  • iPad: iPadOS 13.0 or later

Android:

  • Phone/Tablet: Android 8.0 (Oreo) or later

Is my data secure?​

Yes! CADENSA uses industry-standard security:

  • Encrypted connections (HTTPS/TLS)
  • Secure token storage (iOS Keychain / Android KeyStore)
  • No plaintext passwords (hashed with bcrypt)
  • Biometric lock option (Face ID / Fingerprint)
  • Auto-logout after inactivity

Can I use CADENSA Mobile without internet?​

Yes! Offline mode allows you to:

  • Start/stop timers
  • Create/edit/delete entries
  • Browse cached projects

Changes sync automatically when you're back online.

Timer Questions​

Can I run multiple timers at once?​

No. CADENSA supports one active timer at a time.

If you start a new timer while one is running, the current timer is automatically stopped.

Does the timer continue when I close the app?​

Yes! The timer runs in the background even when:

  • App is minimized
  • Screen is locked
  • You switch to other apps
  • You receive a call

A persistent notification keeps you updated.

What happens if my phone dies while timer is running?​

Timer state is synced to the server. When you:

  1. Recharge your phone
  2. Reopen the app
  3. Timer continues from where it was

Example:

  • Started timer at 9:00 AM
  • Phone died at 10:00 AM
  • Recharged at 11:00 AM
  • Reopened app β†’ Timer shows 2 hours elapsed (9:00 AM - 11:00 AM)

Can I edit a running timer?​

No. You must stop the timer first, then edit the resulting time entry.

What's the minimum/maximum timer duration?​

  • Minimum: 1 minute
  • Maximum: No limit (timer can run for days)

Entries shorter than 1 minute are not saved.

Can I see timer on lock screen?​

Yes (via notification).

When timer runs in background, a persistent notification shows:

  • Elapsed time
  • Project name
  • Quick access to app

Time Entry Questions​

Can I create time entries manually (without timer)?​

Yes!

  1. Go to Time Entries tab
  2. Tap "+" button
  3. Fill in date, times, project, etc.
  4. Tap "Save"

Useful for:

  • Forgot to start timer
  • Adding past work
  • Offline work without app

Can I edit time entries after creating them?​

Yes! Tap any entry to edit:

  • Date
  • Start/End times
  • Project/Task
  • Description
  • Tags
  • Billable status

Unless:

  • Entry is locked (ask admin)
  • You don't have edit permissions

Can I delete time entries?​

Yes! Swipe entry left β†’ Tap "Delete" β†’ Confirm.

Unless:

  • Entry is locked
  • You don't have delete permissions
Cannot Undo

Deletion is permanent and cannot be undone.

How far back can I view time entries?​

Default: Last 30 days (cached offline)

With internet: All entries since account creation

Adjust cache: Settings > Data & Storage > Offline Cache Duration (7/30/90 days)

Can I bulk delete entries?​

Currently, no. Entries must be deleted one at a time.

Feature planned for future release.

Can I copy/duplicate an entry?​

Currently, no. To create similar entry:

  1. Use manual creation
  2. Fill in same details

Projects & Tasks Questions​

Can I create projects in the mobile app?​

No. Projects must be created in the web app by admins.

Mobile app is view-only for project management.

Can I edit project names or colors?​

No. Only in web app (admin feature).

Mobile app displays projects as-is.

Do I have to select a task when tracking time?​

No. Tasks are optional.

You can track time to a project without selecting a task.

What are "Favorite" projects?​

Projects you mark as favorites are pinned to the top of the Projects list for quick access.

To favorite:

  1. Find project in list
  2. Tap ⭐ star icon
  3. Project moves to top

Can I see time totals per project?​

Yes! Tap project card in Projects tab β†’ View project details β†’ See statistics:

  • Total time this week
  • Total time this month
  • Billable vs non-billable breakdown

More advanced reports available in web app.


Sync & Offline Questions​

How does offline mode work?​

When offline, your actions (start timer, create entry, etc.) are:

  1. Saved locally on your device
  2. Added to offline queue
  3. Synced automatically when connection is restored

How long can I work offline?​

Indefinitely! As long as:

  • You have storage space
  • Offline queue doesn't exceed 500 items

Sync when convenient (WiFi, cellular, etc.)

What happens if I edit the same entry offline on mobile and online on web?​

Conflict occurs. You'll be prompted to resolve:

  • Keep mobile version
  • Keep web version
  • Merge both

Do changes sync automatically?​

Yes (if auto-sync is enabled).

When online, changes sync immediately (real-time).

When offline, changes are queued and sync when connection restores.

Can I force sync manually?​

Yes!

Settings > Sync > Sync Now

Or pull-to-refresh on Time Entries tab.

Why are some entries not syncing?​

Possible reasons:

  1. No internet - Queue waits for connection
  2. Orphaned items - Reference deleted projects
  3. Conflicts - Resolve conflicts first
  4. Server error - Ask admin about server status

Troubleshoot: Settings > View Queue > Validate


Workspace Questions​

What is a workspace?​

A workspace is a shared environment where teams track time together. Each workspace has:

  • Projects
  • Team members
  • Settings
  • Billing (if applicable)

Can I belong to multiple workspaces?​

Yes! You can be a member of multiple workspaces.

Switch workspace:

  • Tap workspace name (top bar)
  • Select different workspace
  • App reloads with new workspace data

How do I create a workspace?​

In web app (not mobile):

  1. Login to web app
  2. Go to Workspaces
  3. Click "Create New Workspace"
  4. Fill in details
  5. Invite team members

Can I leave a workspace?​

Yes (in web app).

  1. Go to Workspace Settings
  2. Click "Leave Workspace"
  3. Confirm

Note: Admin cannot leave (must transfer ownership first).

What's the difference between Admin and Member roles?​

Admin:

  • Create/edit/delete projects
  • Manage team members
  • View all entries
  • Edit/delete any entry
  • Access billing and settings

Member:

  • Track time
  • Create/edit/delete own entries
  • View assigned projects
  • Cannot manage projects or team

Viewer: (some workspaces)

  • View projects and entries
  • Cannot create entries

Settings Questions​

How do I change the app language?​

Settings > Language > Select language (English / Hungarian)

App refreshes with new language.

How do I enable dark mode?​

Settings > Appearance > Dark

Or use "System" to auto-switch based on device theme.

Can I change date/time format?​

Yes!

Settings > Preferences > Time Format (12-hour / 24-hour) Settings > Preferences > Date Format (MM/DD/YYYY, DD/MM/YYYY, etc.)

How do I enable biometric lock (Face ID / Fingerprint)?​

Settings > Security > Biometric Lock: ON

Requires:

  • Device supports biometrics
  • Biometrics enabled in device settings
  • Permissions granted to app

Do my settings sync across devices?​

Some do, some don't:

  • Synced: Workspace selection, favorite projects
  • Not synced: Language, theme, notification preferences (device-specific)

Account & Security Questions​

How do I change my password?​

In web app (not mobile):

  1. Login to web app
  2. Go to Account Settings
  3. Click "Change Password"
  4. Enter current and new password
  5. Save

Changes sync to mobile automatically (you'll be logged out and must re-login).

How do I change my email?​

In web app (not mobile):

  1. Go to Account Settings
  2. Click "Change Email"
  3. Enter new email
  4. Verify new email (check inbox)
  5. Email is updated

What is auto-logout?​

Feature that automatically logs you out after inactivity.

Configure: Settings > Security > Auto-Logout Timeout

Options: Never, 15 min, 1 hour, 4 hours, 1 day

How do I delete my account?​

Contact support:

Email: support@cadensa.io (replace with actual)

Include:

  • Your email
  • Reason for deletion (optional)

Support will guide you through account deletion process.

Account Deletion

Deleting account permanently removes all your data:

  • Time entries
  • Projects (if you're the only admin)
  • Settings

Cannot be undone.


Billing & Subscription Questions​

Is CADENSA Mobile free?​

The app is free to download.

Subscription is required for full features (check with your organization or visit website).

How do I upgrade my plan?​

In web app (not mobile):

  1. Go to Billing
  2. View available plans
  3. Select plan
  4. Enter payment details
  5. Confirm subscription

Can I cancel my subscription?​

Yes (in web app).

  1. Go to Billing
  2. Click "Cancel Subscription"
  3. Confirm cancellation

Account remains active until end of billing period, then downgraded to free tier.

What happens if my subscription expires?​

Free tier limitations:

  • Limited projects (e.g., 3 projects max)
  • Limited members (e.g., 1 user)
  • No advanced features (reports, integrations, etc.)

Mobile app:

  • Still works for basic time tracking
  • Some features may be disabled

Upgrade to restore full access.


Troubleshooting Questions​

Why can't I login?​

Common causes:

  1. Wrong credentials - Double-check email and password
  2. Network error - Check internet connection
  3. Server down - Ask admin about server status
  4. Account disabled - Contact admin

Why is my timer not starting?​

Common causes:

  1. No project selected - Select project first (required)
  2. Network error - Check connection
  3. No workspace - Select workspace (top bar)

Why are my entries not syncing?​

Common causes:

  1. Offline - Connect to internet
  2. Orphaned items - Validate queue (Settings > View Queue > Validate)
  3. Conflicts - Resolve conflicts
  4. Server error - Ask admin

Why is the app slow?​

Common causes:

  1. Cache overload - Clear cache (Settings > Data & Storage > Clear Cache)
  2. Too many cached entries - Reduce cache duration
  3. Low storage - Free up device storage
  4. Old device - App may run slower on older devices

How do I report a bug?​

  1. Enable Debug Mode: Settings > Advanced > Debug Mode: ON
  2. Reproduce the bug
  3. Send Logs: Settings > Advanced > Send Logs
  4. Email support with:

Data & Privacy Questions​

Where is my data stored?​

Locally:

  • Device storage (encrypted)
  • iOS Keychain (auth tokens)
  • Android KeyStore (auth tokens)

Cloud:

  • Secure servers (backend database)
  • Encrypted in transit (HTTPS/TLS)
  • Encrypted at rest (database encryption)

Can I export my data?​

Yes!

Settings > Data & Storage > Export Data

Exports time entries to CSV file which you can:

  • Save to Files
  • Email to yourself
  • Upload to cloud

Who can see my time entries?​

Depends on workspace permissions:

  • You - Always see your own entries
  • Admins - Can see all entries in workspace
  • Members - Can only see their own entries (usually)

Check with admin about workspace privacy settings.

Is my data backed up?​

Yes. Server automatically backs up data:

  • Daily backups
  • Retained for 30 days
  • Can restore if needed

Ask admin about backup policy.

What happens if I uninstall the app?​

Synced data: Safe on server (can re-download after reinstall)

Offline queue: Lost (unsync items are deleted)

Local settings: Lost (language, theme, etc.)

Recommendation: Sync before uninstalling!


Multi-Language Questions​

Which languages are supported?​

Currently:

  • English (en)
  • Hungarian (hu)

More languages planned for future releases.

How do I change language?​

Settings > Language > Select language

App refreshes with new language immediately.

Do language settings sync?​

No. Language is device-specific.

Your mobile can be in English while web app is in Hungarian.

Platform-Specific Questions​

iOS: Why can't I install the app?​

Possible reasons:

  1. iOS version too old - Need iOS 13.0+
  2. Storage full - Free up space
  3. App Store region - App may not be available in your country yet

iOS: Face ID not working?​

Check:

  1. Settings > CADENSA > Face ID & Passcode: Enabled
  2. iOS Settings > Face ID & Passcode: Face is enrolled
  3. Restart app and try again

Android: Why is the app using so much battery?​

Possible causes:

  1. Background timer - Uses slightly more battery (normal)
  2. Frequent sync - Change sync frequency (Settings > Sync > Every 15 min)
  3. Enable battery optimization - Settings > Apps > CADENSA > Battery > Optimize

Android: App keeps closing in background?​

Fix:

  1. Disable battery optimization: Settings > Battery > Battery Optimization > CADENSA: Don't optimize
  2. Grant background permission: Settings > Apps > CADENSA > Battery > Unrestricted
  3. Enable persistent notification: App Settings > Notifications > Timer Running Notification: ON

No native desktop app is currently available. Desktop apps for Windows, macOS, and Linux are planned for 2027 β€” see the Roadmap.
