First Workspace Setup

After verifying your email, it's time to create your first workspace! This guide will help you set everything up correctly.

What is a Workspace?

A workspace is the top-level container in CADENSA that organizes:

  • Team members
  • Projects
  • Time entries
  • Reports
  • Billing settings

Think of a workspace as your organization, department, or client. For example:

  • Freelancers: "My Business", "Client Projects"
  • Agencies: "Marketing Dept", "Development Team"
  • Enterprises: "ACME Corp", "Engineering Division"

Workspace vs Unit

Technical Note

In CADENSA's backend, workspaces are called "units". Don't worry about this terminology difference - they're the same thing! The UI uses "workspace" for clarity.

Creating Your First Workspace

Step 1: Access Workspace Creation

After logging in for the first time, you'll be prompted to create a workspace. Alternatively:

  1. Click "Workspaces" in the sidebar
  2. Click "Add Workspace" or "Create New Workspace" button

Step 2: Fill in Workspace Details

Workspace Name (Required)

Enter a descriptive name:

  • Good: "ACME Marketing", "Freelance Projects", "Development Team"
  • Avoid: "Workspace 1", "Test", "Untitled"

Description (Optional)

Brief description of the workspace purpose:

  • Example: "Client projects and time tracking"

Timezone (Required)

Select your timezone - this affects:

  • Time entry timestamps
  • Report generation
  • Scheduled reports

Common timezones:

  • Europe/Budapest (Central European Time)
  • UTC (Coordinated Universal Time)
  • America/New_York (Eastern Time)
  • America/Los_Angeles (Pacific Time)
Important

Choose carefully! Changing timezone later can affect historical time entries.

Step 3: Configure Workspace Settings

Working Hours

Default: 8 hours per day

This is used for:

  • Budget calculations
  • Resource planning
  • Reporting

You can change this later in workspace settings.

Currency

Choose your billing currency:

  • EUR - Euro (€)
  • USD - US Dollar ($)
  • HUF - Hungarian Forint (Ft)

Default Billable Rate (Optional)

Set a default hourly rate for the workspace:

  • Example: €50/hour, $75/hour

This can be overridden at:

  • User level
  • Project level
  • Task level

Step 4: Create Workspace

Click "Create Workspace" button. Your workspace is ready! 🎉

Workspace Settings

After creation, configure your workspace:

General Settings

  1. Navigate to Workspaces → Select your workspace
  2. Click "Settings" or icon
  3. Update:
  • Workspace name
  • Description
  • Working hours
  • Currency
  • Default rate

Working Hours Configuration

Set expected working hours per day:

  • Standard: 8 hours
  • Part-time: 4-6 hours
  • Custom: Any value

This affects:

  • Budget planning (e.g., 40 hours/week)
  • Resource allocation
  • Overtime calculations

Permissions & Roles

Configure who can do what in your workspace:

Default Roles:

  • Owner - Full control (you, by default)
  • Manager - Can manage projects & members
  • Member - Can track time & view projects
  • Viewer - Read-only access

Do's

Use descriptive names

  • Good: "ACME Marketing Projects"
  • Bad: "Workspace 1"

Set correct timezone

  • Matches your team's location
  • Affects all timestamps

Configure default rates

  • Saves time when creating projects
  • Can be overridden per project/user

Organize by client/department

  • Separate billing
  • Clearer reporting

Don'ts

Don't create too many workspaces

  • Keep it simple
  • Use projects to organize instead

Don't mix personal/business

  • Create separate workspaces
  • Better for accounting

Don't forget to set working hours

  • Affects budget calculations
  • Important for planning

Now that your workspace is set up:

  1. Create your first project
  2. Invite team members (if working with a team)

Workspace Management

Switching Between Workspaces

If you have multiple workspaces (PRO/ENTERPRISE):

  1. Click workspace name in top navigation
  2. Select workspace from dropdown
  3. All views update to show selected workspace data

Editing Workspace

  1. Navigate to Workspaces
  2. Click Settings icon
  3. Update settings
  4. Click "Save"

Deleting Workspace (Owner only)

Warning

Deleting a workspace is permanent and cannot be undone! All projects, time entries, and reports will be deleted.

To delete:

  1. Navigate to WorkspacesSettings
  2. Scroll to Danger Zone
  3. Click "Delete Workspace"
  4. Type workspace name to confirm
  5. Click "Delete Permanently"

Troubleshooting

Can't create workspace (FREE tier)

Problem: Already have 1 workspace (FREE limit)

Solution:

Timezone not showing correctly

Problem: Times appear wrong in reports

Solution:

  1. Check workspace timezone setting
  2. Check browser timezone
  3. Hard refresh (Ctrl+Shift+R)

Can't change currency

Problem: Currency field is locked

Q: Can I change workspace name later? A: Yes! Go to Workspace Settings → General → Change name → Save

Q: What happens if I hit workspace limits? A: You'll see a notification. Options: Delete old data, or upgrade tier.

Q: Can I transfer workspace ownership? A: Yes (ENTERPRISE). Contact support: support@cadensa.io

Q: Is there a workspace limit on ENTERPRISE? A: No! Create unlimited workspaces on ENTERPRISE tier.
